Role Overview. High-impact, hyper-organized video production coordinator who will assist Producers to ensure timely and efficient productions are executed by the Video Production team. This will be a core team member for Westfall Gold’s Video Department.

Responsibilities.
Assist Producers in Pre-Production and Field Production coordination, at times overlapping into Post Production.
Be pro-active in helping the video department to creatively problem solve in all areas, from simple tasks to overall project management.
Create and manage projects in Teamwork online software, to include setting up projects, updating projects, and managing tasks with other project team members, and managing production calendars.
Schedule, coordinate and conduct telephone interviews, and give recommendations on content. Potentially conduct interviews on location (in the future).
Schedule, coordinate, and manage shoots (arrange talent, shooting crews, & equipment, scout and negotiate locations, create and set schedules, coordinate and arrange travel for talent and crew, create production guides,).
Work with producers to prepare budgets.
Coordinate and purchase travel to locations domestically and internationally, including visa applications.
Administer and report on project progress to production units.
Oversee agreements for personnel, talent, vendors and other services.
With supervisor’s approval negotiate and contract deals with vendors (crew, locations, facilities, editors etc.)
Work closely with Post Production Management to make sure all assets are transferred from pre-production and field production to post production.
Monthly project close out, reporting and metrics.
Handle and approve production payments, review and approve expense reports for production personnel, monitor and reconcile all project transactions.
Understand and predict video production scope and budgeting so as to properly align concepts, ideas, and programs with expected or required budget parameters. This understanding should extend to all aspects and executions of video production from one man band, guerilla production to full production, including scripting, casting, art direction, talent direction, location scouting, wardrobe, hair & makeup, on-location or in-studio production.
Complies with all Company policies and procedures (including accounting and HR policies).
Clear, consistent, and timely communication. Ensures that clear, consistent, and timely communication about videos in progress are provided to the client and the other Westfall Group team members.
Accomplish other objectives, as necessary or assigned. Completes other activities related to Major Donor Events or company related projects as assigned from time to time.

Experience
Prior experience in customer relationship management in a video/film context
Strong creative vision, storytelling and point of view experience
Video pre-production and field production experience
Experience in arranging travel for a team
Skilled at resolving expectation gaps between talent, crew and creatives
Skills
Excellent verbal/written communication, negotiation, and interpersonal skills
Experience in using email/calendaring, word processing, spreadsheet, and presentation software, such as Microsoft Outlook, Word, Excel, and PowerPoint
Excellent organization and project management skills

Bachelor’s degree or equivalent work experience
